Every fleet owner can tell you what their vehicles earn. Far fewer can tell you what each one costs, and that is where the money hides. One truck with a worsening mileage figure, another burning tyres because its alignment has been off for months, a third losing days to a permit that expired while nobody was watching — individually small, collectively the difference between a good year and a flat one.

This system turns a fleet into numbers you can act on. Fuel is logged against odometer readings so mileage trends are visible per vehicle and per driver. Services are scheduled by kilometres or hours and chase themselves. Insurance, fitness, permit, PUC and national permit expiry dates generate alerts weeks ahead. Put all of it together with GPS data and running costs, and you get a cost per kilometre for each vehicle that tells you honestly which ones to keep and which to sell.

What changes after you use it

  • Document expiry alerts that prevent a vehicle being stopped at a checkpoint
  • Mileage tracked per driver, which usually changes driving behaviour by itself
  • Preventive servicing instead of expensive roadside breakdowns
  • True cost per kilometre to decide what to keep, sell or replace
You own the software. Source code, database and hosting are handed over at project close. There are no per-user licence fees and no annual renewal that switches the system off if you stop paying.

FAQ

Fleet Management software — common questions

What businesses ask before commissioning a system like this.

Which GPS devices does it support?
Most standard Indian GPS trackers integrate, since they use common protocols. If you already have devices fitted, they can usually be pointed at this system without replacement. If not, I will recommend hardware that fits your vehicle types and budget.
How does fuel theft detection work?
By tracking fuel issued against distance covered per vehicle and per driver, then flagging deviations from that vehicle's own historical mileage. Combined with GPS halt data and pump entries, patterns become obvious quickly. Fuel sensor integration is available for tankers and larger fleets.
Can it remind us about insurance and permit renewals?
Yes. Every document carries an expiry date with staged reminders by email, SMS and WhatsApp at 30, 15 and 7 days, plus a dashboard listing everything due this month so nothing depends on somebody remembering.
Does it work for a small fleet of five or ten vehicles?
Yes, and small fleets often see the fastest payback because a single prevented breakdown or missed renewal covers a meaningful share of the cost. The system is scoped to your fleet size rather than sold as an enterprise package.
Can drivers use it on their phones?
Yes. Drivers get a simple app for trip start and end, fuel entry with an odometer photo, expense submission and breakdown reporting, designed to work on low-end Android phones and poor connectivity.
